New America is seeking dynamic, experienced, and energetic candidates for the vacant position of Events Associate. The position reports to New America’s Director of Events.

New America’s Events Associates are responsible for the day-to-day organization and execution of New America events and conferences. Planning everything from small, on-site, invite-only workshops to large, off-site multi-day conferences, you’ll support events of various sizes and audiences.  The ideal candidate will be highly organized, detail- and task-oriented, able to meet deadlines and prioritize, and impeccably professional is essential in this position.

  • Coordinate all assigned meetings and events from start to finish: scheduling, catering, event rentals, room set-up, audio visual equipment.
  • Organize pre-, on-site, and post-meeting activities including speaker arrangements, confirmations, handouts, badges, travel management, rooming lists, and speaker management.
  • Utilize Cvent and Salesforce to send event invitations, track attendance, and maintain data on all events.
  • Utilize basic HTML formatting to update event websites and invitations.
  • Maintain the organization's events calendar.
  • Assist with the negotiation of contracts with event venues, hotels, and speakers.
  • Prepare and process invoices and expense reports.
  • Additional duties as assigned.

Candidates for the Events Associate position should have the following:

  • Proven capability in events, communications, public affairs, public policy, marketing or related field.
  • Minimum 1-3 years’ experience in advance, logistics or event planning, preferably at a non-profit.
  • Understanding of event planning and management, including logistics and registration; familiarity with event industry language, trends and systems.
  • Proven experience successfully handling multiple events at different stages and simultaneously in a deadline-driven environment.
  • Proficiency with MS Office required; proficiency with Google Apps and Cvent preferred.
  • Ability to be a proactive thinker and work independently as well as in a team.
  • Intellectual curiosity, motivation, and a desire to learn on the job.
  • Ability to work under pressure and tight deadlines and beyond normal business hours when necessary.
